Early Payroll Deadline for Good Friday Holiday 

Dear Colleagues,

Please be mindful of the early closing dates and pay date this pay period due to Good Friday Day holiday.  In order for Payroll to be processed and settled for the April 13, 2017 pay date:

  • Documents are due to Payroll by Thursday April 6 at 10:00 a.m. for the Biweekly
  • Time entry must be completed and approved by Friday, April 7 at 8:00 pm
    • *Estimate hours worked for April 8 and April 9
  • Retro Transaction approved and On-Demand requests submitted Monday, April 10 by 12:00 noon
    • *Anything approved or submitted after this deadline will be process for the following Friday

PHishing attack targeting GMS Login - posted october 31, 2016

Please be advised there is a phishing email going around that is coming from a spoofed email address (help@georgetown.edu), which takes users to a link that looks like GMS. The link has been blocked from being accessed from the GU network and has been added to the Phishing Examples Page. Below are pictures of the email and the site it takes you to. Please do NOT log in from an email from help@georgetown.edu and only access GMS from gms.georgetown.edu

Intermittent Error when entering time - Posted October 17, 2016 - Resolved

Issue:  Users may intermittently see the following error when attempting to enter time: 

Http: Error: Server may be down or there is a problem with your internal connection. Please try signing in again. HTTP Status Code 400

Workaround: Enter time using  the micro-edit functionality of clicking directly into the time entry calendar to enter time for each individual day.

Early Payroll Deadline for Columbus Day Holiday - Posted October 7, 2016

Dear Colleagues,

Workday Performance ISsues - Posted August 1, 2016 - Resolved

GMS performance may be slowed as Workday is currently experiencing intermittent integration and reporting performance issues in their Workday Production tenants. During this time users issuing Purchase Orders may not see the associated PDFs generated. The PDF functionality is slowed but functioning, and users should not rerun these Purchase Orders. We will alert you when this issue has been resolved.

URGENT ISSUE: Future-Dated POs Sourced From Reqs Not Posting to FY'17 - Posted May 20, 2016 - Resolved

Issue:

If a Cost Center Buyer attempts to source a PO from a Requisition, the system replaces the original Document Date on the Requisition with the Issue Date.  If you have sourced a PO from a Requisition intended for FY17, this issue may affect you as the PO Document Date will now be the date in FY16 that the PO was sourced. 

This means that a PO intended to be active in FY17 will actually be active as of the date it is sourced and will be subject to the PO closure process as part of fiscal close for FY16.  This only affects POs that are sourced from Requisitions.  If a Buyer creates a PO without a requisition, it will retain the date originally entered.

Resolution:

To avoid this issue for POs intended for FY17 Cost Center Buyers have two options. 

1.  Source the PO directly and not through a Requisition, with a Document Date of 7/1/16 or later
2.  Wait to source Requisitions for FY17 activity until 7/1/16 or later.

Unfortunately, if a PO intended for FY17 has already been sourced from a Requisition, and therefore is posted with an FY16 date, Workday will not allow users to edit the accounting date.  In this case, the PO must be closed.  Cost Center Buyers should then enter a new Purchase Order dated 7/1 or later.

One Time Payment Issue - Posted April 11, 2016

One-time payments in Workday cannot currently be processed without manually entering worktags, even though default worktags already exist. The workaround for this is to re-enter the default worktags. Workday is aware of this issue and we will update this post when we have a resolution.

Error Message at Sign On for Workday Mobile App - iOS Only - Posted April 5, 2016 - RESOLVED

When you sign on to Workday mobile on iOS devices you may receive an error message.

Workaround: You can click OK to dismiss the error message and sign on to the Workday mobile app.

Workday will correct this issue in the April 8th service update.

Error When Updating Compensation Plans in GMS - Posted March 30, 2016 - Resolved April 2, 2016

Workday has alerted customers to an error when updating Compensation Plans in the current version of GMS (Workday 26). GMS will become unresponsive when users attempt to update a Compensation Plan using the Request Compensation Change or Change Job business processes that include Actual or Expected End Dates. Workday will be correcting this issue in the April 1st Service Update.

What this means to you:
In the interim, we recommend postponing any Request Compensation Change or Change Job business processes until the April 1st update has been applied, which will be effective Saturday, April 2nd.

Change Job Business Process Error with Future Dated Compensation Event - Posted March 22, 2016

Workday is experiencing intermittent problems when processing a Change Job business process where compensation is changing. The issue occurs when someone already has a future dated compensation event in place and prevents the user from changing compensation or allowance plans on the Compensation screen when performing a Change Job.

Workday is aware of the problem and is working to deliver a fix. This message will be updated when an ETA for resolution or workaround becomes available.

Error When Selecting an Organization - Posted March 22, 2016

Workday returns an error on reports and tasks when you select an organization from the Active Organizations by Hierarchy prompt.

Workaround: Search for the organization by name or use a different prompt to navigate to the organization.

This will be resolved with the March 25th Service Update

GMS Outage Scheduled for Good Friday, March 25 - Posted March 22, 2016

Dear Colleagues, 

GMS will be unavailable beginning at 9:00 a.m. EDT on Friday, March 25 for the posting of final FY2014 financial statement remapping journals and to process the fix for FY2015 spend commitment and obligation journals that posted in FY2016 in error. 

We anticipate that GMS will be available by 12:00 p.m. EDT on Friday, March 25. We will post a message to the website when it is available again. 

The outage is limited to GMS and does not impact the Georgetown network. The only impact for GU employees is that they will not be able to access GMS from any internet connection (GU or otherwise).

As you know, the University is closed this Friday, March 25, 2016 in observance of Good Friday.  We are requesting on-demand check requests and time corrections be entered and APPROVED in GMS by 3 pm today, Monday 21, in order to ensure payment occurs on Thursday March 24, 2016.  If your time corrections are not approved by today at 3pm they will process next week.  

Documents for the regular biweekly payroll are due to Payroll by 10:00 am, Thursday, March 24.

Workday 26 is Now Available - Posted March 12, 2016

Dear Colleagues,

Welcome to the Workday 26 update to the Georgetown Management System (GMS). With this update, Workday provides several enhancements in regards to the look and feel of the system. Here's a quick summary of changes in Workday 26:

  • Payroll Compliance Updates Dashboard for Payroll Administrators
  • Effective Dates are available for Legal Name Changes
  • New Grid Personalization for Reports
  • Enhanced Expense Reporting on Mobile Devices
  • Ability to create Worktag and Split Default Templates for Requisitions

Early Payroll Deadlines for President’s Day Holiday 

Dear Colleagues,

Please be mindful of the early closing dates and pay date this pay period due to the President’s Day holiday.  In order for Payroll to be processed and settled for the February 19th pay date, please adhere to the deadlines outlined below.  Just a friendly reminder that this is also the first pay period we are using the Electronic Time in/ Time out functionality for Non-Union Hourly Employees.

Documents are due to Payroll by Thursday, February 11th at 5:00 p.m. for the biweekly. Time entry must be completed and APPROVED by Friday, February 12th at 11:59 p.m.

  • Please follow schedules set by departments for employees to have time entry completed in GMS.
  • Estimate hours worked for February 13th and February 14th.

Comment Text Boxes Not Functioning for Supplier and Supplier Invoice Transactions - Posted January 26, 2016 - Resolved Feb. 2, 2016

Workday has reported a problem with Comment Text Boxes not displaying during Supplier and Supplier Invoice Transactions, which users in the GU community have confirmed. Reviewers for Supplier and Supplier Invoice Transactions will not see Comments that Initiators inputted during the Business Process. Unfortunately, there is no Workaround. Comment Text Boxes are functioning as normal for all other Transactions.

We will alert users once the issue is resolved. We apologize for the inconvenience.

Error When Running Reports Using Cost Center Hierarchy - Posted November 16, 2015

Update on New Payroll Journal Transactions Report - Posted October 29, 2015

We are pleased to announce that we have implemented a fix to the period limitation on the updated Payroll Journal Transactions report.  When the report was initially released on October 19th there was a limitation restricting the ability to run the report for more than one period.  You are now able to run the report for multiple periods including year-to-date, prior period and by fiscal quarter.  We appreciate your patience as we worked through this issue.  An updated job aid will be available shortly providing more detailed instructions regarding the use of time periods for the Payroll Journal Transactions report.

Error Issuing, Viewing, Or Downloading Purchase Orders - Posted October 21, 2015

Workday has reported a problem with Issuing Purchase Orders, which users in the GU community have confirmed.  If you are not the Cost Center Buyer who created the Purchase Order, Workday may return an error message when you attempt to Issue, View, or Download a Purchase Order.

Workaround:  The Buyer who is named on the Purchase Order can perform these tasks.

We anticipate this issue will be fixed after this week's maintenance on October 23, 2015. We apologize for the inconvenience.

Due to a mandatory Workday upgrade, the Georgetown Management System (GMS) will be unavailable beginning at 2:00 AM EDT on Saturday, September 12.

GMS is expected to be available at 8:00 PM EDT Saturday,September 12.  We will post updates to gms.georgetown.edu.  

Due to this outage, timesheet approvals have been extended until 11:59 PM EDT on Monday, September 14, 2015.

Excel and Print Icons Missing for Some Users - Posted July 27, 2015

Following the July 24th Service Update, some users are reporting that icons are not displaying correctly. These icons include:

WORKAROUND:

Clicking on the location where the icon should be will still allow users to print to Excel or PDF.

GU Find Journals Line Report and Payroll Journal Transaction Report Issue - Posted June 29, 2015 - Resolved

When running the 'GU Find Journal Lines' or 'Payroll Journal Transactions' reports, users may find that they are unable to specify a ledger account. Workday is aware of the issue and has targeted a fix for this Friday night. Should you need to run a report to specify a Ledger Account, and the alternate field 'Ledger Account and Summaries' is not available, please contact help@georgetown.edu. We apologize for this inconvenience, particularly at this time of year.

Searches in GMS using Internet Explorer Returning Inconsistent Results - Posted June 15, 2015 - Resolved

Searches in Workday when using Internet explorer are returning inconsistent results. This is only impacting Internet explorer and is not an issue in other browsers.

Do not hit return to enter search. Use mouse to click spy glass / search icon. 

Change Job Process Issue - Posted June 2, 2015 - Resolved

We have recently discovered a GMS system issue during the Change Job business process which does not allow the initiator to transfer or "pull" an employee from a Supervisory Organization for which​ they are not assigned  a role.

Workday has found the error and will resolve the issue during the weekly scheduled maintenance window on Friday, June 5th.

In the interim, a transfer can still be initiated via the Change Job business process by the appropriate role from employee’s  current Supervisory Organization, and the employee can be "pushed" into the new Supervisory Organization where they can then enter all the necessary information.

Creation of Receipts Issue - Posted May 28, 2015

We have recently discovered a system issue in GMS that is preventing the creation of receipts.  When attempting to submit a receipt, the following critical error message is displayed:  "Fund must be included and configured as a required worktag type because it is a balancing worktag." 

Workday has found the error and has assured us this issue will be resolved during the weekly scheduled maintenance window on Friday, May 29th.  Please refrain from submitting receipts until Saturday, May 30th when the issue is resolved.

Requisition Service Line Issue - Posted March 18. 2015 - RESOLVED

We have recently discovered an issue with the new “Service Line” feature.  Cost Center Buyers will receive an error when trying to source an approved requisition which contains Service Lines.  

Until further notice, please only use Goods Lines, as you have previously done prior to WD24, when attempting to purchase goods or services. 

For requisitions with Service Lines that have already been approved:

  • Requisitioners or Cost Center Buyers will need to cancel the requisition via the related actions button off the requisition.
  • Requsitioners can then reinitiate the requisition with Goods Lines only

We have contacted Workday and they are currently working to resolve the issue.   We apologize for the inconvenience and will update you as we learn more.

Users who download the Workday for Mobile App for the first time are not able to enter their tenant name.  In the interim, a user can tap on the gear icon on the top right and enter the settings manually.

Workday for iPad and iPhone is not updating by tapping on the ‘Get New Version’ button.  A workaround is for users to tap on the ‘App Store’ icon on their device and either:

  • Search for the Workday App  and  tap on the ‘GET’ button to download the app to the device or
  • Tap on 'Updates' and update the Workday App.

Workday will fix this issue and post another build to the App Store as soon as possible.

As an additional alternative, you can go to gms.georgetown.edu from your mobile device to access the full desktop app.

We will update you as the issues resolve.

GMS Access Issues - Posted March 6, 2015 - RESOLVED

GMS is now available. 

We are experiencing intermittent access issues with GMS due to a failure on the data center equipment which hosts GMS.  Workday has confirmed there is a bug and is actively working on restoring access. We sincerely apologize for the inconvenience and will update you as we learn more.

UPDATE - Fix for GU Find Journal & GU Find Journal Lines reports will be applied on December 27th - Posted December 19, 2014

Workday has identified the issue with the journal reports.  They are currently working on the resolution which will be available next Saturday, December 27 after our weekly maintenance update. We apologize for the inconvenience.

As a reminder, to support September close, you should still be able to run the reports with a status of "Created" or "In Progress," which are the critical journals to be reviewed for closing.  

Whatever remains unprocessed on December 23rd for September close can be processed for October close on January 12th, or November close on January 21st.

Timesheets unavailable from Monday, October 27th at 1PM to Tuesday, October 28th at 11:59PM - Posted October 25, 2014

As of the Monday, October 27th pay period we will update the overtime calculation in GMS for employees with multiple positions.  This change will improve how overtime is reflected on timesheets and employee payslips. 

  • On the Timesheet there will be a new total column in the upper-right hand corner for overtime hours displaying the total amount of overtime worked per week.
  • On the Payslip the overtime rate will now display as one and one half times the employee’s regular rate of pay in the Rate column of the Earnings section, making the overtime rate paid more transparent to employees.

Please note:

  • From Monday, October 27th at 1PM until Tuesday, October 28th at 11:59PM ALL timesheets will be locked and hourly employees will not be able to enter any time while we make the calculation changes in GMS.
  • The new display of overtime hours on timesheets and overtime rate on payslips will appear starting Wednesday, October 29th.

GMS Outage Monday, September 29th from 7PM - 9PM - Posted September 28, 2014

To resolve the recent performance issues within GMS, Workday will be performing a system update Monday evening. As such, GMS will be unavailable Monday, September 29, 2014 from 7pm until 9pm.

In preparation for this outage, we are disabling the Budget to Actuals reports and Payroll Journal Transactions reports until Tuesday, September 30th. We will re-enable these reports once we have confirmed the update.

We apologize for any inconvenience this may cause and appreciate your continued patience.  It is our hope that this correction will restore performance and allow all users to run the reports necessary to perform the reconciliation and review of financial transactions according the Budget-to-Actuals Report Review and Reconciliation Policy.

Access to GMS is restored! - Posted June 26, 2014

Access to GMS has been restored! GMS is now available for HR, Benefits, and Payroll transactions.   You can now log in to GMS to complete your usual tasks.  Please note merit increases will not be visible until they are reviewed and approved.

Remember - GMS Financials goes live on June 30th!  GMS Financials Roles will not be available until Monday.

Update on Delay in Transactions Appearing in GMS Inbox

We've received the following update from Workday regarding the Inbox performance issues:

All transactions processed after 1:18 pm today (5/29) will process normally, without delay.
Transactions that were initiated between Saturday, May 24th through 1:30 pm today (5/29) will be resolved in the weekly patch Friday night (5/30) which will display all tasks in the Inbox that are currently delayed.

In the interim, below are instructions to access tasks:

  1. Navigate to the employee's record.
  2. Under the Job tab click on the Worker History hyperlink.
  3. In the Business Process column, locate the appropriate task and click on the hyperlink.
  4. Under the My Actions tab click the Review button to see the task details and take action.
Delay in Transactions Appearing in GMS Inbox

Workday is experiencing an intermittent performance delay in how the inbox is getting updated and/or refreshed. This impacts our users in the following ways:

  1. A user may be required to take action on a business process and the inbox task is not immediately available
  2. A user may take action on an existing inbox task but the task is not being removed from their inbox items in a timely fashion

There is no risk to data being entered or initiating new transactions, however, the inbox items for these transactions may be delayed in appearing for some users.

Introducing Change Job

On February 18th the Transfer Business Process in GMS will be retired and a new Business Process released called Change Job.

As we prepare for this transition GMS will be available for general use however it is important to remember the following key dates for transactions.
 
Thursday, February 13th

  • Edit Position and Transfer business processes will be turned off at the close of business.
  • Any transaction initiated by this date will still route for approvals after Change Job is deployed.

Tuesday, February 18th

  • Change Job will be available for use.
  • Online resources for new Change Job process will be posted on the GMS website.

Searching in GMS

If only employee name or ID is entered in the Search box, GMS will not return any search results.  In the interim, please search for employees by using the following prefixes:

  • To search by applicant, please use the search prefix of applicant: (Applicant name)
  • To search by a worker who is active, on leave or terminated, please use the search prefix of worker: (Employee name)

If you prefer to not enter in a search prefix, you can search for the employee or position, and then select the Staffing search category when the search results are returned.

GMS will be unavailable Friday, December 13th at 5:00 p.m. due to the Workday 21 Update.

Emergency Contacts - 11/14/2013

Workday returns an error when you use the Add Emergency Contact related action (off a worker) and select either radio button:

  • Change for this Contact only.
  • Change for all Contacts above.

Workaround: Select the None of the above radio button when adding or editing an emergency contact.

Business Process Email Notifications Missing Content - 11/13/13

When Workday sends business process email notifications, the email doesn't include all available details about the business process.

Background Reports are Backlogged - 10/28/13

Background reports are now processing, however, due to the backlog, it might take some time for the queue to clear up. Please check status of your jobs in process monitor as some might have failed. Failed jobs can be resubmitted.

Export to Excel Issue - 10/28/13

When exporting a report to Excel from GMS, Excel only shows the first 100 rows of results. Workday is aware of this issue and are currently working on a fix.

Workaround: Do not click on the Excel icon on the results page. Instead, Schedule the report and then export the results to Excel.

Position Search Issue

There is an issue with the search function in GMS when searching by position number and we are working with Workday to resolve the issue. In the interim, you are still able to search for a position if you use the prefix "position" when searching. For example, by entering "position: P12345" in the search box you will get search results.

Workfeed Overdue Button

If the Overdue button on the Workfeed is clicked, the Filters on the Workfeed automatically change to "Overdue". To see all Workfeed tasks, the user will need to update their Workfeed filters manually. This issue is being addressed by Workday.
