Please be aware of the following recent updates to GMS processes, job aids or reports as of January 13, 2020.  


HCM Updates

HCM200113.01 – Updates to Roster Data Management Report

The GU Roster Data Management Worker & Position Details report now includes Compensation Grade & Compensation Grade Profile for Filled Positions.


HCM200113.02 – Office of Advancement Mid-Year Reviews

Impacted Roles: Employment and Recruitment Specialist, HR Client Service Partner, Manager

OA’s FY20 Mid-Year Check-Ins have launched in GMS. Please contact oatm@georgetown.edu with any questions.


HCM200113.03 – Government ID Expiration Report Updated

Impacted Roles: I9 Analyst

Government IDs Expiration report is now shared with I9 Analyst role.


Financial Updates

FIN200113.01 – Send Back Notifications for Expense Reports

Impacted Roles: Employee as Self, Delegate

Expense report payees will now receive an email notification if their expense report has been sent back as part of the approval process. Please note that if you have delegated the ability to create expense reports that the send back notification will NOT be sent to your delegates and you should forward it to them to take action.


FIN200113.02 – New Travel and Business Wifi Expense Item

Impacted Roles: Employee as Self, Delegate

A new expense item has been added for Wifi / Wireless Internet incurred while on business travel.


FIN200113.03 – Lead PI Available As Ad Hoc Approver for Spend Authorizations

Impacted Roles: Financial Reviewer, Grant Manager, Cost Center Manager, Senior Business Manager, Finance CFO

Previously the Effort Certification Coordinator field on the GU Effort Certification Status Report report was not returning any results. This has been fixed.


FIN200113.04 – QAR Currency Conversion

Impacted Roles: Employee as Self, Delegate

We now load daily currency conversion rates from QAR to all other country currencies available in GMS. Please note that this conversion will be based on the cross rates between USD and the respective country, and USD-QAR which is pegged at 3.65. For example: USD-GBP is 0.7705, and USD-QAR is 3.65, therefore, QAR-GBP is 0.7705/3.65 = 0.211.


FIN200113.05 – Project Budget Process Updates

Impacted Roles: GU-Capital Project Reviewer, GU-Capital Transaction Reviewer

Additional access has been granted to the GU-Capital Project Reviewer as part of the project budgeting process. Specifically, the GU-Capital Project Reviewer can now execute the following tasks:

  • Create Plan Template
  • Maintain Budget
  • Submit Plan
  • Create Budget Amendment (also granted to GU-Capital Transaction Reviewer)

FIN200113.06 – Contract Manager Ability to Reassign Tasks

Impacted Roles: GU-Senior Supplier Contract Managers, Chief Procurement Officer, Supplier Contract Manager

Senior Supplier Contract Managers, Supplier Contract Managers, and Chief Procurement Officer can now reassign tasks for the Supplier Contract and Supplier Contract Amendment events


FIN200113.07 – GU Customer AR Info Summary Report Updates

Impacted Roles: GU Customer Contact, Customer Contract Specialist

GU Customer AR Info Summary report now includes the Customer Contact name and email. Report is also shared with the Customer Contract Specialist role.


FIN200113.08 – Senior SCM Access to GU Find Purchase Orders

Impacted Roles: Senior Supplier Contract Managers

Senior Supplier Contract Managers are now able to select All Cost Centers in the organization prompt for GU Find Purchase Orders.
