What’s New in GMS – April 2, 2018

Please be aware of the following recent updates to GMS processes, job aids or reports as of April 2, 2018.  

HCM Update

HCM180402.01 – Recruiting/Onboarding Update

Impacted Roles: Candidate, Employee as Self

The staff job posting template and onboarding message to new employees has been updated to include the Georgetown Works website.


HCM180402.02 – GU Position Restriction Details Report Update  

Impacted Roles: Academic HR Partner, CFO, Compensation Analyst, Department Administrator, Employment and Recruitment Specialist, Finance Partner, GU HR Institutional Reporting, HR Contact, IDEAA Administrator, Institutional Reporting

The report has been updated to display the aggregated compensation budget and aggregated fringe benefit budget amounts for position budgets that have been amended within the fiscal year.


HCM180402.03 – Contact Change Business Process Update

Impacted Roles: Employee as Self

The Contact Change business process has been modified so that the Primary Work Email Address Visibility MUST BE Public. You will be unable to submit a Contact Change business process if you have set your Primary Work Email Visibility to Private. To change the Visibility in the Contact Change business process, you must expand the collapsible Details section to access the field.

Finance update

FIN180402.01 – GU Customer Receivables Aging Summary Update

Impacted Roles: Customer Contract Specialist, Senior Business Manager, Campus CFO

GU Customer Receivables Aging Summary (Other AR) has been modified to add a prompt for Organization Hierarchy.


FIN180402.02 – GU Find Customer Contracts Report update

Impacted Roles: Customer Contract Specialist, Senior Business Manager, Campus CFO, Customer Contract Approver, Customer Contract Content Approver

New GU Find Customer Contracts report includes organizational hierarchy prompt and initiator prompt.  Report contains initiator, awaiting approver when applicable, worktags, and revenue and billing schedules as well as other standard contract information.


FIN180402.03 – Customer Contracts Update

Impacted Roles: Customer Contract Specialist

Customer contracts will be routed to the Customer Contract Specialist before and after Treasurer step in order to ensure that the final version of the contract is attached before Treasurer signature and for opportunity to attach countersigned contract if customer signs after Treasurer.
