What’s New in GMS – September 25, 2017

Please be aware of the following recent updates to GMS processes, job aids or reports as of September 25th, 2017.  


HCM170925.01 – Updates to the Timesheet Approval Notification

The notification sent to an employee upon approval of his or her timesheet references the number of hours worked for the week and does not include approved time off hours.  In order to clarify this distinction the notification was updated to include the following language; “Please note the hours listed above do not include approved time off hours taken during the same week.”

HCM170925.02 – Updates to the Check Distribution for HR Contacts Alert

To align with the recent changes to the check distribution process, the Check Distribution for HR Contacts Alert was updated to provide more specific instruction.  The alert now includes additional details, instructions for picking up a check on campus, and links for more information.  Details on the check distribution process can also be found on the Office of Billing and Payment Services website.

HCM170925.03 – Update Academic Appointment Reason Codes

In order to enhance appointment data and reporting the following updates were made to appointment reason codes:

  • New Reason Code: Update Academic Appointment > Update Appointment > Reappointment
  • Updated the Promotion and Tenure category to be “Promotion and/or Tenure”
  • Updated the “Add Adjunct Appointment” to be “Extend Appointment”

HCM170925.04 – Document Category Field is Required

To enable better document security within GMS, the Document Category field is now required when uploading documents as part of business process transactions.
